ADMINISTRATION AND FINANCE MANAGER
Job Description
The Administration and Finance Manager is responsible for all financial and administrative operations of Internews Côte d’Ivoire. He provides general assistance to the project manager, provides effective support, training and advice to staff; he ensures that the project complies with donor requirements, Internews’ internal regulations and the development of best practices.
Essential Duties and Responsibilities:
– Coordinate expense documentation and financial reporting.
– Produce/analyze monthly financial reports
– Supervise banking operations and the maintenance of financial and accounting records.
– Manage cash flow and reconciliations
– Ensure daily management of the budget.
– Prepare purchase orders (Purchase Order Request) and submit them to the Headquarters Grants and Contracts Department for approval.
– Maintain inventory of goods.
– Ensure compliance with USAID rules and regulations.
– Supervise the closure of programs and the desktop.
– Operational supervision of the program assistant
– Operational supervision of logistics (purchasing, offices, vehicles)
– Administrative support for the development of Internews activities/projects (project team, partnerships, grants)
– Overseeing general office and facility management, including contract management
– Manage HR (recruitment, salary processing, taxes, social security)
– Carry out any other task entrusted to him by the Project Director
Job profile
Qualifications:
– Academic and professional qualification in accounting or finance or equivalent
– Experience using accounting software preferably AGRESSO or Business Word Unit 4
– Good organizational skills, ability to set priorities and meet deadlines
– Accuracy and attention to detail
– Mastery of Microsoft applications
– Good interpersonal skills
– The ability to be flexible and adaptable, to work within a small team.
– Financial and administrative experience acquired in a demanding and dynamic environment.
– Taking initiative, problem solving and excellent interpersonal skills,
– Excellent management and office coordination skills, including demonstrable ability to work successfully with external stakeholders and vendors.
– Experience in managing sub-grants
– Excellent written and oral skills in ENGLISH and FRENCH
– International NGO work experience
