MISSION OF THE POSITION:
Under the direction of the QHSE Manager, the Archivist ensures:
 The organization and implementation of the records management system and the management of definitive archives with the following objectives:
 Ensure the protection of documents essential to CHOCOCAM;
 Gradually take charge of archival documents from their creation until their final fate (destruction or transfer to the definitive archives).
 Preserve documents in their creation context;
 Guarantee the communication of documents within reasonable deadlines, on suitable media and in compliance with access rights;
 Ensure the provision of office equipment to staff.

DUTIES AND RESPONSIBILITIES:

Archiving system design and standardization
 Design and development of archival tools: archiving charter: management table, filing plan, conservation schedule, tracking tools, archive files, etc. ;
 Identification and preservation of vital, critical or confidential documents
 Design, planning and improvement of records management programs
 Design and development of specific management programs specific to each entity and/or documentary group: mail management, management of personnel files, management of litigation files, etc. ;

Implementation of archiving policy and procedures
 Acquisition, processing and preservation of archives
 Organization of archives inventories

 Sorting of collected documents
 Classification of documents
 Classification of documents
 Conditioning of archives
 Keeping records
 Chemical and physical treatments appropriate to archives

Communication from the Archives
 Documentary research
 Communication of archives
 Research tracing

Management and security of resources and archive premises
 Design and development of programs for the planning, management and securing of archiving premises (archive store)
 Choice of material and archiving equipment;
 Analysis of the storage conditions in the archive premises (hygrometry, temperature, conditions, sanitary facilities, etc.).

Computerization of the archiving system
 Participation in the design, analysis, selection and improvement of computer applications for archives and documentary processes (Electronic Document Management or EDM software, automated mail management software, management software automated archive store(s) etc. 1f609
 Participation in GED operations (capture, digitization, image processing, indexing, classification, etc.)
 Assistance and training of staff in document management

 Evaluation and documentary audit of the archiving system
 Control of record keeping of documents already integrated into CHOCOCAM’s documentary information system / archiving system
 Technological watch in terms of archiving;
 Participation in the design and improvement of documents produced by CHOCOCAM;

  • Management of documents to be photocopied, ordering and dispatching of office equipment
  • Make photocopies and binders at the request of staff
  • Ensure the distribution of office supplies to staff who request them
    +Receive and manage the stock of office supplies of the company; +Trigger orders for supplies when needed
    +Monitor the use and operating parameters of the copier; notify IT in case of failure
    +Perform any other professional task entrusted to him by his superiors.

QUALIFICATIONS AND PROFESSIONAL EXPERIENCE:
 (Bac +3) minimum in the field of archiving and document management
 Minimum 2 years of experience in the field
 Good written and oral expression in English / French
